Account receivable by date
Who owed you money on a chosen date — and how much of it was already overdue? This report reconstructs the receivables picture as it stood on a chosen past date: it looks at the invoices you had sent by that date and counts what was still open on that date.
In the Reports menu this report is called Account receivable — its sibling Account receivable aging always shows the situation today.
Choosing the date
The date picker at the top selects the reference date (as of date). It defaults to today, so on a fresh open the two reports show identical numbers until you deliberately pick another date. The report then includes every invoice issued on or before that date that was still open on it.
Like its sibling, the report has two views — By invoice month (default; calendar-month columns by invoice date, each month showing Issued / Paid / Open, plus Other months, Selected months and Total groups) and By overdue age (due-date buckets measured against the chosen date) — plus a Months filter that limits which month columns appear without ever changing the Total.
The reconstruction is genuinely historical:
- payments recorded after the chosen date do not reduce the figures,
- credit notes dated on or before the chosen date are deducted,
- an invoice that was open on the chosen date still appears even if it has since been paid in full — with the amount that was outstanding then.
Tip: pick the last day of a month to get a clean month-end snapshot for bookkeeping.
The columns
The report shows one row per customer. Each invoice's still-open amount on the chosen date is placed into exactly one column, based on how far the invoice's due date had passed on that date:
| Column | Invoices whose due date was… |
|---|---|
| Not yet due | …still in the future on the chosen date. |
| Less than 30 / 60 / 90 / 120 / 180 days | …1–30, 31–60, 61–90, 91–120 or 121–180 days past. |
| Older | …more than 180 days past. |
| Total | The sum of all buckets — everything that customer owed you on that date. |
The bottom row totals each column over all customers.
What is counted
- Invoices open on the chosen date — issued on or before it, and not fully covered by payments and credit notes dated on or before it. Advance payments count as payments here.
- Draft, cancelled and deleted invoices are left out, and so are invoices that were merged into another invoice.
- Each amount is the invoice total minus what had been paid and credit-noted by the chosen date — a partly paid invoice appears with the amount that was still outstanding then.
- Invoices issued in a foreign currency are converted to your own currency.
Limit: if an invoice's total was edited after the chosen date, the report uses the invoice's current total — past versions of the invoice itself are not stored.
Account receivable vs. Account receivable aging — what is the difference?
The Reports menu has two similarly named reports. They use the same calculation and the same buckets — the only difference is the reference date the aging is measured from. Choosing today's date here gives exactly the same numbers as Account receivable aging:
| Account receivable (this report) | Account receivable aging | |
|---|---|---|
| Question it answers | What did customers owe me on a chosen past date? | What do customers owe me right now, and how overdue is it? |
| Aging measured from | A date you choose — e.g. last month-end. | Always today. |
| Invoices included | Invoices open on the chosen date — even if paid since. | Invoices still open today. |
| Payments & credit notes | Only the ones dated on or before the chosen date count. | Everything recorded to date. |
| Best for | Month-end or year-end snapshots. | Everyday monitoring and collections work. |
Good to know
- Click any amount to see the invoices behind it: a popup lists each invoice with its number, dates, total, paid amount, credit notes and the remaining balance — plus a VAT breakdown per VAT rate and account, and totals for the whole bucket. The paid, credit-noted and remaining figures in the popup are also reconstructed as of the chosen date. The invoice number opens the invoice PDF in a new tab.
- A credit note dated after the chosen date does not affect this report's figures — on that date it did not exist yet. Check the invoice itself for the up-to-date balance.
- Customer names are links: click one to jump to that customer's invoice view and see the invoices behind the number.
- Use the customer filter to produce the report for a single customer.
- The result table can be searched, printed and exported (copy, CSV, Excel, PDF) from the buttons above the table.
